About IHAT:

India Health Action Trust (IHAT) was instituted in 2003 and our vision is to meaningfully impact the lives of vulnerable and marginalised people by addressing health and social inequities. The Trust is working towards reducing inequities by developing comprehensive and sustainable programmes to improve population health. Since its inception, IHAT has working closely with the Government of India and state governments, including Uttar Pradesh, Madhya Pradesh, Karnataka, Delhi and Bihar to achieve public health goals. Our work is focused in areas of prevention and control of HIV and Tuberculosis, in achieving significant improvements in Reproductive, Maternal, Neonatal and Child Health, improved Nutrition among mothers and children, and strengthening health systems. We use program science to optimise and scale public health programs while partnering with the governments and communities.

Job Summary :

The Associate-Finance and Administration will support the finance and administrative functions at the block level and district level at Shahdol, under the guidance of the Officer-Finance and Administration, Bhopal. The position will ensure accurate financial record keeping, timely processing of payments, adherence to IHAT and donor policies, and effective administrative operations in the district/project office.

This role requires coordination with program teams, vendors, and the Officer-Finance and Administration to ensure smooth day-to-day functioning of finance and administration systems.

Key Responsibilities:

1.       Finance and Accounting

  • Process day-to-day financial transactions including vouchers, bills, receipts, and payments in line with IHAT and donor guidelines.
  • Maintain complete and accurate records of all financial transactions and supporting documents at the district office.
  • Monitor staff advances and claim settlements, vendor payments, and ensure timely settlements.
  • Preparation of monthly expenditure reports and support the management in variance analysis.
  • Ensure safe custody and systematic filing of financial documents for audit and verification.
  • Support in periodic internal checks, reconciliation of accounts, and audit preparedness.

2. Administration and Operations

  • Support office administration including logistics, procurement of goods and services, and maintenance of office assets and inventories.
  • Ensure compliance with IHAT procurement policies during local purchases and vendor payments.
  • Facilitate travel bookings, reimbursements, and event/workshop arrangements.
  • Support in ensuring workplace safety, safeguarding, and compliance with IHAT policies.

3.  Compliance and Internal controls

  • Ensure adherence to IHAT’s finance and administration policies at the district level.
  • Support statutory compliance in coordination with the state finance team (GST, TDS, etc.).
  • Flag discrepancies or deviations in financial documentation to the Officer – Finance and Admin.
  • Provide support in audits and financial reviews.

4.  Coordination and Support

  • Work closely with district program teams to provide timely financial and administrative support for project implementation.
  • Coordinate with vendors, service providers, and the State Office for payments, documentation, and reporting.
  • Provide orientation to field staff on basic financial procedures, documentation, and compliance norms.

5. Vendor Management and Verification

  • Maintain records of local vendors, quotations, and service agreements.
  • Ensure vendor payments are processed in line with IHAT procurement procedures.
  • Support verification of invoices and receipts for accuracy and completeness.

6. Other Responsibilities

  • Undertake any other related duties assigned by the Officer-Finance and Administration or District Program Manager.
Work Experience:

Minimum 2 years of experience in finance and administration, preferably in the development/ non-profit sector.

Education:

Bachelor’s degree in Commerce, Finance, or related field. Master’s degree in the same fields is preferred.

Key Competencies:
  • Working knowledge of accounting principles and statutory compliance (TDS, GST, PF, etc.).
  • Experience in handling vouchers, payments, and petty cash management.
  • Proficiency in MS Office and accounting software (Tally or similar).
  • Strong organizational, documentation, and coordination skills.
  • High integrity and attention to detail.
  • Ability to work effectively in field settings and travel within the district as required.
